CRM integrations — a backend and system integration case study | Oleg Bavaev

Backend & Integrations

CRM integrations

Developing modules that connect an internal CRM to external services: payment systems, email marketing, and analytics, where predictable and reliable data exchange matters.

Context

The project's challenge and context

The team needed a working integration layer between its internal CRM and external services so processes would not depend on manual synchronization and disconnected workflows.

Challenge

What needed to be solved

  • Make data exchange clear and manageable instead of a collection of fragile, isolated integrations.
  • Handle webhooks, statuses, and retries so the system remains predictable for the team.
  • Fit integrations into the existing product environment without unnecessary operational overhead.

Constraints

  • External services follow different rules and do not always provide equally useful feedback.
  • The team needs visibility: what was sent, what came back, where a failure occurred, and what to do next.
  • Integration layer errors quickly become business problems unless resilience is designed in from the start.

Implementation

What was done

I designed an integration layer between the CRM and external systems around clear data exchange points.

I built webhook event processing, queues, and retry workflows for unreliable responses from external services.

I prepared internal observability mechanisms so the team could understand integration health without manual investigation.

I kept the architecture simple enough to maintain and develop without uncontrolled growth in complexity.

Role and stack

My role

Backend and integration ownership: data exchange architecture, module implementation, workflow resilience, and preparation for further development.

Stack

Ruby on RailsPostgreSQLRedisSidekiqREST API

Outcome

What it brought to the business and team

The team gained a more predictable data exchange environment between the CRM and external services.

Integration workflows became easier to diagnose and less dependent on manual monitoring.

A foundation emerged for adding new connections without steadily increasing chaos.
